Using AI to Draft Meeting Agendas

AI usage: This playbook uses a general-purpose AI assistant (such as Claude, at anthropic.com/claude) to turn a rough list of talking points into a structured, time-boxed agenda, saving a manager the 10-15 minutes it typically takes to organize one manually before a recurring meeting.

What you will do

  • Turn a loose list of topics into a structured agenda with time boxes
  • Produce a version you can paste directly into a calendar invite or shared doc

Before you start

  • A rough list of topics or open items you want to cover
  • Rough sense of how long the meeting is (e.g. 30 or 60 minutes)
  • Access to any AI chat assistant (no special tools required)

Steps

1. List your raw topics

Write down every topic, decision, or update you want to cover, in any order. Don't worry about structure yet — just capture everything.

  • Prompt: "Here is a rough list of topics for a 30-minute team meeting: [paste your list]. Organize this into a structured agenda with time boxes, grouping related items together and putting decisions before status updates."
  • Expected output: a numbered agenda with time allocations per section

2. Review and adjust the time boxes

AI-suggested time boxes are a starting point, not a guarantee. Check that high-priority or contentious topics get enough room, and trim filler items if the total exceeds your meeting length.

  • Prompt: "Tighten this agenda to fit exactly 30 minutes, keeping the budget discussion at 10 minutes minimum."
  • Expected output / how to check it: total time boxes sum to your meeting length; no single topic dominates unless intentional

Review checklist

  • Step outputs verified against the source data
  • Sensitive data handled (redaction / retention) — don't paste confidential figures into a public AI tool without checking your company's data policy
  • You are the final reviewer — review the output before sending the agenda

Run it

  • Time required: under 5 minutes once you have your topic list
  • Repeat frequency: before every recurring meeting
  • What to store afterward: paste the final agenda into your calendar invite or shared meeting doc
